Use clear names and purposes
Label the provider or person and describe the practical reason for contacting them. Distinguish a transport office from an appointment desk. Confirm numbers from a reliable source and review them when arrangements change. Do not copy entire address books into the care circle simply because the information is available.
Check the audience
Family helpers can see shared contacts in Caremily, while adding contacts requires a caregiver or admin role. Add only numbers that make sense for that audience. Do not assume contact details are confidential from helpers just because the related document is private. Ask permission before sharing a private individual’s contact information when appropriate.
Keep documents separate
A contact entry should not become a substitute for a personal document. Put an eligible PDF, JPG or PNG in the private document area when it needs restricted access. Caremily accepts selected files up to 5 MB. Keep the contact entry limited to useful coordination details rather than copying sensitive contents into a broadly visible note.
Review one entry after each change
When a provider, role or telephone number changes, check the relevant contact and tell the people who need it. Agree a separate procedure for urgent situations. The list organizes contacts; it does not guarantee that a service is open, that calls are answered or that messages are monitored through the application.
