Start with the organization’s procedures
Explain the employer’s established recording, safeguarding and escalation requirements first. Caremily Teams supports coordination and audit history; it is not a certification that every legal or clinical requirement is met. Clarify which records belong in the app and which must remain in the organization’s existing approved systems.
Use an individual employee account
Invite the employee with the appropriate role and check the active-client assignments. Owners and managers can see active clients across the organization; ordinary staff access is limited to assigned active clients. Do not share a manager’s account to avoid setup. Individual accounts help make the author of an update and the owner of a task clearer.
Practice one realistic workflow
Use an approved example to show reading the current plan, taking a task and writing a concise handover. Confirm what “complete” means in the organization. Avoid entering invented sensitive client records into a live workspace as a demonstration. Explain who to call if a time-sensitive change cannot wait for an application reminder.
Review after the first shift
Ask whether the employee found the right client, understood unfinished tasks and knew how to contact a supervisor. Correct assignments where needed and check the subscription’s employee-account limit. A phone and a tablet used by one employee do not create two staff places. Keep onboarding focused on reliable access and responsibility, not only on screen navigation.
