Describe the practical problem

Ask the resident what is wrong and what they want arranged. Record only the details needed for a repair enquiry. Do not guess whether equipment is safe to use; seek the relevant qualified professional when safety or specialist equipment is involved.

Separate booking from attendance

One person may contact the repair service while another attends the appointment. Create separate tasks where needed, with useful deadlines and accepted owners. Keep the service contact current and confirm the arrival window directly with the provider rather than assuming it is fixed.

Agree costs outside the task

Discuss any quote and spending approval with the person responsible before accepting work. Caremily is not a payment or procurement system. A task can remind someone to request a quote, but it does not authorize another person to spend money.

Leave the next visitor a clear update

After the appointment, write what happened and whether another visit or part is required. Create a new task for that follow-up. Keep invoices or appropriate files in the private document area when they belong there, rather than copying their sensitive details into shared notes.
