Give each person a separate plan

Start with two clearly named care circles. Keep appointments, tasks and handovers inside the relevant circle. A shared surname or the same appointment date is not enough to identify whose plan is being discussed. Include the person’s name when arranging transport outside the shared workspace.

Check capacity across both plans

A helper can appear in both circles without being available for two visits at once. Once a week, compare the next few days and agree who covers any overlap. Name a backup and update the original task if responsibility changes. Do not assume everyone belongs to both circles.

Keep updates and access specific

Write each visit handover under the person visited. Separate “shopping put away” from a request that needs an owner and deadline. Invite only the helpers who need that person’s information; permission to assist one relative should not automatically expose another relative’s documents.

A simple switch, not two device bills
