Identify tasks that cannot wait

Review upcoming practical responsibilities and agree which ones need cover if the owner becomes unavailable. Do not label every task urgent. Ask the person receiving care which changes are acceptable and which require a direct conversation. Clinical or safety-critical arrangements should follow the advice and procedures of the relevant professionals.

Name a reachable backup

Confirm that the backup has agreed to help and has access to the right care circle. An invitation alone does not guarantee availability. Caremily can show tasks and contacts to helpers, but private documents require an appropriate caregiver or admin role. Make any important contact method available before the original owner leaves.

Transfer responsibility explicitly

Contact the backup, confirm the new arrangement and update the shared plan. Do not simply mark an unfinished task complete. Record the changed time or practical limitation where others can see it. A short handover can explain what remains, but the task itself should reflect who is now making sure the work happens.

Check the plan after the change

Confirm that the visit or task was completed and review why cover was difficult. Adjust future commitments if the problem is likely to recur. Optional application reminders are not a substitute for a direct call when a time-sensitive change occurs. The backup plan should be simple enough to use when everyone is busy.
